6.0 PIREP Filing Procedures
6.1 Accepted Filing Methods

AAVA uses an advanced technological platform to accept Pilot flight reports (PIREPS) and we work flawlessly with the following third-party clients.

Any other form of PIREPS filing other than the ones described below will not be accepted. Each client comes with their own set of requirements described as follows:

Pilots should use the Stratos platform as the preferred tracker to file flight reports (PIREPS). This flight tracking software works with FSX, Prepar3D, X-Plane, FS2020, and FS2024, and bridges communications between AAVA servers and your Flight Simulator capturing flight information, position reports, and status updates.

The client transmits this information to the "Live Flights" section of the CrewCenter dashboard. you can always access your "Flight Details Page" by clicking on your flight number below the Map or by selecting your flight inside the Map and then clicking the flight number that appears.          6.1.1 MANUAL REPORTING

In the event of a system malfunction or client service issue, Manual PIREPs may be filed and accepted if one or more of the following conditions are present:

• Stratos is unavailable or experiencing a service interruption

• vmsACARS is unavailable or experiencing a service interruption

• An approved flight tracking client crashes during flight

• An approved flight tracking client fails to allow submission of a completed flight

• The AAVA website is unavailable at the time of arrival

• Other extenuating circumstances as approved by a Hub Manager

To support your Manual PIREP filing, it is mandatory to provide screenshots of the flight log from Stratos or vmsACARS, or submit proof of flight by providing screenshots or a flight link from Volanta or SimToolkitPro.

All supporting documentation must be submitted to your Hub Manager and receive prior written approval before a Manual PIREP is submitted. Manual PIREPs are intended for extenuating circumstances only and are not a substitute for normal flight tracking procedures.

IMPORTANT: Prior to filing a Manual PIREP, pilots must either fetch a BID or place a BID on the same flight they intend to file. A Manual PIREP submitted without a corresponding BID may be rejected.
